Serving on a Kairos weekend at the Coleman Unit, Lockhart, TX
Thank you for your interest in serving on a Kairos team at the Coleman Unit. Whether this is your first Kairos weekend or one of many, you will be truly blessed to see how God works, through you and the team, to impact the lives of these women at Coleman.
Overview of the Kairos team:
- Each Kairos weekend at the Coleman Unit is comprised of two volunteer teams, Inside and Outside, that work together to ensure a successful weekend.
- The Inside team is comprised of only women. These women physically enter the unit and conduct the actual Kairos program with the 42 candidates throughout the weekend.
- The Outside team can be comprised of both men and women. This team orchestrates all the activities required to ensure the supplies and food get accurately prepared, curated, and delivered into the unit on time as well as retrieved from the unit throughout the weekend. This team also prays, nearly continuously, for both the team inside the unit as well as the 42 candidates.
- Both the Inside and Outside teams (men and women) attend the closing ceremony, inside the unit, on Sunday afternoon of the weekend.
As a prospective team member for a Coleman Kairos weekend, please review the following information. If you have any questions, please speak to your recruiter.
Team Application
- Prospective team members must complete a team application found on the Coleman Unit Kairos web site at https://www.kairoscoleman.com/downloads. Select and open the appropriate team application. Contact your recruiter if you prefer a printed application or if you cannot access the Coleman Kairos web site.
- The team application can be submitted to the team leader during a team meeting or via email or US mail. Physical and valid Electronic Signatures are both acceptable. Refer to the application for email and physical address to send the application.
- Be sure to include all required information. This includes your signature and that of your pastor on the front/page 1 (application) and your signature on the back/page 2 (Statement of Faith). Applications may be rejected if incomplete, resulting in possible inability to serve.
- Submitting a complete team application does not guarantee a place on the team. Applicants will be notified by the weekend leader if selected to serve on the team.
- Team members must have a valid Driver’s License or Approved Government ID. This also applies to Outside team members that wish to attend the closing on Sunday afternoon.
- Team members must commit to attend the entire weekend from Thursday afternoon through late afternoon Sunday. If you cannot commit to the entire time, please speak with the team leader.
- Team members attend 4 to 5 team formation and training meetings. The number, dates, times, and locations of these meetings are determined by the weekend leader and will appear on the team application.
- Attending all team formation and training meetings is very important to a) enable the team to grow together spiritually as one, and b) provide the necessary training for each team member’s role during the weekend. This applies to both new Kairos volunteers as well as veterans.
- If you are unable to attend one or more team formation meetings, please speak with the weekend leader prior to submitting the team application.
Financial
- Team members are encouraged to attain financial donations ($300 ea) to help offset the cost of their weekend – this applies to both Inside and Outside team members.
- The source of this funding is entirely up to each team member. Suggestions include:
- Ask your parish to donate a portion of this amount on your behalf. Kairos donations are a good Outreach source for churches or individuals to contribute.
- Ask friends and family to sponsor you financially.
- The team member are responsible for securing their own accommodation for the weekend.
- The due date of all donations will be provided by the weekend leader during the Team Meetings.
- Candidate Sponsorship – Solicit amongst your family, friends, and parish. Donors may sponsor a candidate with a minimum donation of $150. Donations of any size are welcome and can be given to the treasurer via any team member or can be mailed to KPMI-Coleman, PO Box 54, Lockhart, TX 78644 - Please make checks payable to KPMI-Coleman. A donor mailing address must accompany the donation.
- Electronic payments can be made through Givebutter: https://givebutter.com/kairos-texas. Click on frequency, amount, and designate “Coleman” – this designation is critical to ensure the donation benefits Kairos at the Coleman Unit. Payment choices include Credit/Debit cards, PayPal, Venmo, or Cash App Pay.
- While we encourage team members to attain financial support, the inability to attain this support should not preclude anyone from serving. Speak with the Team Leader for more information.
- All donations to Kairos are tax deductible.
Agape
Team members engage friends, family members, and parish families to provide Agape for the weekend candidates, including:
- Placemats for use during weekend meals is a great way to engage kids from your family or your parish to draw pictures and provide words of encouragement for the candidates.
- Prayer Chain Links visibly demonstrate the enormous amount of prayer that’s happening throughout the weekend for the Kairos candidates.
- Meal Tickets provide visible means of financial donations in small amounts.
Candidate Letters
- Each team member, both Inside and Outside teams, are encouraged to write Candidate Letters, one to each of the 42 Candidates. These letters should be written on plain white paper and inserted into a plain white envelope. The context of the letters are up to the individual team member though should be in the form of spiritual encouragement and support for their weekend walk with Christ. Additional instructions will be provided during the first Team Meeting.
Instruction Reunion
- Women, particularly those serving on the inside team, are encouraged to attend the Instructional held following the Kairos Weekend.
- The actual date and time of the Instructional will be provided by the team leader at the first team meeting.
Texas Department of Criminal Justice (TDCJ)
- Kairos volunteers must be registered with, approved, and receive Volunteer Training through the Texas Department of Criminal Justice (TDCJ) - https://www.tdcj.texas.gov/php/prod/volunteer_training/.
- For Veteran Kairos volunteers, your TDCJ volunteer application and training must be updated prior to the Kairos weekend start date. The team leader will provide any changes to this requirement during the first team meeting.
- For NEW Kairos volunteers, you must a) complete and submit a TDCJ volunteer application (available at the web site above – different from the team application) prior to the Kairos weekend and b) complete your initial formal training prior to the weekend. For first time Kairos volunteers, your formal TDCJ volunteer training may be deferred until after the weekend though it is highly recommended to have this training complete prior to the weekend that you plan to serve. Delaying this formal training may restrict you from attending post-Kairos activities at Coleman (see below) and future Kairos weekends.
- Former offenders must complete all required TDCJ volunteer applications and training and be approved by the Coleman Unit Warden prior to the first team formation meeting to be considered to serve on a Coleman Unit Kairos weekend. If interested in serving, former offenders are encouraged to contact the weekend leader or the Coleman Kairos UAC chair as soon as possible.
- TDCJ Volunteer Training for Kairos volunteers is required every two years; check the TDCJ Volunteering Training site above for on-site and on-line options.
Prayer and Share
- Commit to attend Prayer & Share and Saturday Reunion events following the weekend (women only).
- While the weekend is a key event in the Kairos experience, the ongoing spiritual growth and bonding amongst the Kairos candidates happens in earnest following the weekend through Prayer & Share and monthly reunions. Kairos volunteers play an important role in this effort to provide guidance and instill a sense of ongoing accountability amongst the Kairos graduates at the Coleman Unit. Attending every post-Kairos weekend event is indeed a huge commitment though we ask that you try to attend as you can.
